Overview

The Academic Success Specialist at Propel Career Academy is responsible for overseeing and managing the systems and processes that support student progress, academic success, and career readiness. This role involves administering the Learning Management System (LMS), ensuring accurate and timely grading, tracking and reporting on students’ academic progress to support retention and satisfactory academic performance, and coordinating graduation requirements. In addition, this position plays a key role in fostering career readiness by providing resources, guidance, and support to prepare students for successful transitions into their professional lives.

 

The Academic Success Specialist will collaborate closely with instructors to ensure alignment with institutional goals and to provide a holistic, student-centered approach to learning and professional development. This role requires a proactive approach to improving processes and systems that enhance the student experience, as well as the ability to support students’ academic and career journeys from enrollment through graduation.

Responsibilities

Learning Management System (LMS) Administration:

  • Course Setup and Content Management: Assist with the setup and organization of course modules, assessments, and learning resources within the LMS. Ensure that content is accurate, up-to-date, and accessible to students.
  • User Support: Provide first-line support to students and faculty, answering questions related to navigating the LMS, accessing materials, and basic troubleshooting. Escalate more technical issues to the IT or LMS administration team as required.
  • Access and Permissions: Ensure students and faculty have appropriate access to courses and materials. Coordinate with relevant departments to manage enrollment changes and user permissions.
  • Data Tracking and Reporting: Run basic reports on LMS engagement, assignment submissions, and other metrics to support academic progress monitoring. Share insights with advisors and faculty as needed to support student success.
  • Continuous Improvement: Gather feedback from students and faculty about the LMS experience and suggest enhancements or improvements to optimize functionality and usability.

Grading and Academic Progress Tracking:

  • Grade Entry and Verification: Support faculty in entering grades into the LMS or student information system and conduct spot checks to verify accuracy. Ensure grades are submitted on time, meeting end-of-term deadlines.
  • Progress Monitoring: Regularly track students’ academic progress throughout the term by reviewing course grades, assignment submissions, and assessment scores in the LMS. Identify students who may be falling behind and flag them for early intervention by
    program managers.
  • Satisfactory Academic Progress (SAP) Support: Monitor students' adherence to satisfactory academic progress standards by tracking GPA, course completion, and credit hours. Assist in generating alerts for students at risk of falling below SAP standards and collaborate with program managers and instructors to ensure students receive appropriate support.
  • Reporting and Data Sharing: Generate regular reports on academic progress, grading trends, and student performance. Share these insights with academic advisors, faculty, and other relevant stakeholders to support decision-making and resource allocation.
  • Graduation Requirements Compliance and Ceremony Planning: Graduation Eligibility Verification: Review student records to confirm completion of all academic requirements, including credit hours, course completions, and GPA. Collaborate with the registrar’s office and advisors to ensure that eligible students are accurately identified and notified of any outstanding requirements.
  • Ceremony Planning Coordination: Work with event planning teams and the registrar’s office to coordinate logistics for the graduation ceremony, including venue setup, scheduling, seating arrangements, and materials. Assist with communication to students regarding ceremony details, rehearsal schedules, and dress code.
  • Post-Graduation Follow-Up: Support alumni transition by providing information on receiving official documents, transcripts, and future opportunities for career or academic advancement.

Career Readiness Assistance:

  • Career Skills Workshops: Assist in coordinating workshops and events focused on resume writing, interview preparation, networking, and professional communication skills. Help promote these events to students and provide logistical support.
  • Career Resources and Toolkits: Maintain and distribute career readiness materials, including guides on resume-building, cover letter writing, LinkedIn profile creation, and job search strategies. Ensure that these resources are accessible and regularly updated.
  • Individual Career Support: Respond to student inquiries about career readiness, guiding them to relevant resources and connecting them with career advisors for one-on-one assistance as needed.
  • Cross-Departmental Collaboration: Work closely with faculty, advisors, and career services to align academic, support, and career readiness initiatives.

Student Success Process Improvement:

  • Process Improvement: Identify opportunities to enhance LMS functionality, academic tracking, and career readiness initiatives to improve the student experience.
  • Data Analysis and Reporting: Regularly analyze student engagement, academic performance, and career readiness data from the LMS and other tracking tools. Identify trends and areas for improvement, and prepare reports for leadership on student outcomes.
  • Workflow Optimization: Review and refine workflows related to academic tracking, grading, and career support services to improve efficiency and reduce redundancies. Propose and document new processes for streamlining student support services.
  • Policy and Best Practice Development: Develop guidelines and best practices for using the LMS, tracking academic progress, and supporting career readiness. Ensure these practices are consistently applied across departments to support a cohesive student experience.
  • Training and Resource Development: Create and update training materials and resources for students, faculty, and staff to optimize use of the LMS and other academic tools. Conduct training sessions as needed to ensure smooth adoption of new processes or tools.
  • Continuously foster a student-service-oriented culture: Promote a strong commitment to meeting student needs, ensuring their success, and continuously improving their experience throughout their journey. Ensure the services provided place students at the forefront of the decision-making processes.

USD $55,000.00 - USD $60,000.00 /Yr.
