Overview

This role involves managing and processing claims related to workplace incidents and accidents, including injuries, illnesses, and ensuring compliance with state workers' compensation laws and DOT regulations. Responsibilities include assisting with accident investigations, verifying claim eligibility, and facilitating communication among injured employees, medical providers, insurance carriers, and employers. The position requires collaboration with the company's Human Resources department to ensure regulatory compliance and oversee key aspects of the claims process, such as intake, investigation, medical review, and case closure.

Responsibilities

  • Oversee the day-to-day administration of the company’s Workers’ Compensation Program across multiple states.
  • Assess all new claims, immediately engaging in serious, questionable, or lost-time cases.
  • Monitor and maintain timely communication with managers and employees regarding workers’ compensation cases to ensure a prompt return to work.
  • Ensure confidentiality of sensitive information related to claims and employee health.
  • Participate in special projects supporting the company’s Workers’ Compensation Program as needed.
  • Follow up with employees, managers, timekeepers, third-party administrators (TPAs), and medical offices regarding appointments, light-duty status, and policy or procedural clarifications.
  • Coordinate with claims administrators, HR, and field management to manage the application of the company’s Transitional Duty Policy, including drafting template letters.
  • Maintain detailed records, including medical appointment logs, transitional duty assignments, and workers' compensation leaves of absence across multiple states.
  • Act as a liaison between injured employees, claims administrators, and the company to ensure all eligible benefits are provided.
  • Ensure compliance with DOT, FMCSA, and company policies, including driver qualification documentation, motor vehicle reports (MVRs), and drug and alcohol testing.
  • Develop and deliver training sessions for managers and employees on workers' compensation processes, DOT compliance, and safety protocols.
  • Serve as a gatekeeper for compliance, ensuring adherence to federal, state, and local regulations. Schedule drug screens for new hires, random tests, reasonable suspicion, and post-accident testing.
  • Maintain the DOT Drug and Alcohol Database and other required logs.
  • Manage motor vehicle reports (MVRs) and associated documentation.
  • Assist with field driver training initiatives.
  • Conduct on-site accident and incident investigations.
  • Adapt to new processes and programs, ensuring proper training is provided at all levels.
  • Manage tracking and reporting software, analyzing data from claims and compliance programs to identify areas for improvement and report trends to leadership.
  • Ensure timely and comprehensive communication in response to emails, insurance requests, and DOT accident reports.

Qualifications

  • 3 to 5 years of experience handling and overseeing workers’ compensation lost-time claims.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) with the ability to quickly learn and adapt to specialized programs and systems specific to the role.
  • Demonstrated ability to work independently as a self-starter, with strong organizational skills and the ability to manage multiple tasks effectively.
  • Exceptional attention to detail, ensuring accuracy and thoroughness in all responsibilities.
  • A team-oriented mindset with a proactive and supportive attitude toward colleagues, managers, and stakeholders at all levels.
  • Working knowledge of state and federal workers’ compensation laws, as well as DOT and FMCSA regulations.
  • Excellent written and verbal communication skills to interact effectively with employees, managers, third-party administrators, and other stakeholders.
  • Proven ability to handle complex claims or compliance issues and resolve them efficiently.
  • Flexibility to adapt to changing policies, processes, and regulatory environments while maintaining high performance.
  • Familiarity with analyzing claims data or compliance metrics to identify trends and provide actionable insights.
  • Ability to provide empathetic and professional support to injured employees and managers during sensitive situations.
